Two tips for better emails

Email is clearly a wonderful asset and we can't really imagine life without it. How did we cope before? Of course, there's nothing new under the sun, and just as the fax was so much faster than Royal Mail, so email is clearly the front runner in terms of efficiency for estate agency.

Or is it? Email can threaten to make us its servant rather than its master, and it is still subject to human error. For example, have you ever fired off a quick email to a client and forgotten to attach the file you referred to in the body? Or replied to an email that you meant to forward? Or copied in the wrong person? Or written something you might regret or omitted something really important? I used to do that sort of thing all the time. But not any more!

Simply change your settings so that any email you send is delayed for say three minutes before it actually goes. Then you have time to recognise your mistake and correct it without embarrassment. If you use MS Outlook it's easy to set up. Just go to Tools>Rules and Alerts>New Rule>Check Messages After Sending>Don't check any boxes>Apply to every email>check the box that reads "Defer delivery by number of minutes" and then edit the number of minutes to suit.

The other problem with email is that it can control your working life - with many people becoming less proactive in favour of waiting for, and responding to, incoming emails. The way to avoid this is to be strict with yourself and only check your emails say once an hour, or even just three times a day, and getting on with planned and profitable activity in the interim. That is of course, until someone sends you a funny mpeg in which case you just have to stop work occasionally and have a laugh with your colleagues. Life is too short not to! Here's one that cracked me up. It's only about a minute long, and as it's about estate agents you can probably get away with calling it work-related!
